# How to get a Webex meeting summary when you are not the host

Webex saves the AI Assistant summary to the host's account. Here is how a participant can get it started, get it shared after the call, or record a summary of their own with everyone's consent.

If you are not the host, you can only get the Webex AI Assistant meeting summary when the host or a cohost turns it on (or lets anyone start it) and shares it with you, because Webex saves the summary to the host's account. During the call, send the host or cohost a request to start the summary, or ask to be made a cohost. After the call, ask the host to share it: beyond the host, Webex sends it automatically only to people in the host's organisation, and only when that sharing has been switched on, so guests from another organisation need it sent directly. For a summary you control yourself, a meeting assistant such as Digiotouch AI can record the Webex meeting from your own device, with everyone's agreement, and put the summary and action items in your own account.

> Camille is a business development manager at a software company in Lyon. Every month she joins a supplier review on Webex hosted by a banking client, together with her company's operations lead and an account executive. The client turns on the Webex AI Assistant, but the summary lands in the host's account and nobody on Camille's side receives it. After the last review, the three of them remembered different deadlines for the same deliverable, and nobody could check who was right.

## Why don't Webex participants get the meeting summary automatically?

Webex treats the AI summary as the host's content. According to the [Webex Help Center guide to Cisco AI Assistant in meetings](https://help.webex.com/en-us/article/nyzkuik/Webex-App-Cisco-AI-Assistant-in-meetings), AI Assistant meeting summaries are off by default, only the host and cohosts can start and stop them unless the host or a cohost changes that setting, and the summary and transcript are saved to the meeting host's account. The same guide notes that the feature is only available on the Webex Suite meeting platform.

Distribution after the call is also controlled from the host's side. Webex's [post-meeting email guide](https://help.webex.com/article/nl0bttab/Post-meeting-email) explains that, apart from the host, the email with the summary reaches cohosts, delegates and internal invitees only when an administrator or the host has switched that on. Webex's [guide to sharing meeting content](https://help.webex.com/en-us/article/ngg906s/Share-meeting-and-event-content-with-others) adds that only internal invitees receive the automatic email with the recording link, and that recap content shared from the Webex App is available only to people in the host's organisation. For a salesperson, business development manager or operations lead joining a client's or partner's Webex call, that means the summary usually exists, just not where you can reach it.

## Can you start the Webex AI Assistant summary if you are not the host?

Only if the host allows it. By default, [Webex lets only the host and cohosts start and stop the summary](https://help.webex.com/en-us/article/nyzkuik/Webex-App-Cisco-AI-Assistant-in-meetings). A host or cohost can change the AI Assistant setting to "Anyone can start and stop the summary", and participants then see a Start summary option in the meeting.

If the option is locked, Webex shows a notice that only the host or cohost can enable AI Assistant; click AI Assistant in the meeting controls to send the host or cohost a request, and Webex tells you once the summary has started. Two practical habits help: ask by email or chat before the meeting, so the host can change the setting in advance, and ask to be made a cohost if you run the agenda or own the follow-up.

Even then, the summary is saved to the host's account, so starting it yourself does not put a copy in yours.

> **How Digiotouch AI handles this:** Digiotouch AI does not depend on the host's Webex settings. The desktop app records the meeting from your own device, so you start and stop the recording yourself and the summary is created in your own account. You still need everyone in the meeting to agree before you record.

## Where does the Webex meeting summary go after the meeting?

To the host first. [Webex emails the host](https://help.webex.com/en-us/nslyqzx/) a link to view, edit or share the summary, and keeps it in the host's Webex account and in the Meetings tab of the Webex App, under "Meeting recap". The host can edit the notes and action items, translate the summary, and share it by email or to a Webex space.

Other people receive it only through settings that the host or an administrator controls, as [Webex's post-meeting email guide](https://help.webex.com/article/nl0bttab/Post-meeting-email) sets out:

- Cohosts get the post-meeting email if the administrator has enabled "Allow cohosts view-only privileges".
- Internal invitees get it if an administrator allows automatic sharing and the host has enabled "Invitees can view the meeting content" in User Hub.
- Delegates get it if the host has enabled "Automatically share meeting content with my delegates" in User Hub.

The invitee and delegate settings do not apply to Personal Meeting Room meetings or webinars. [Webex's AI Assistant guide](https://help.webex.com/en-us/article/nyzkuik/Webex-App-Cisco-AI-Assistant-in-meetings) adds that if the meeting is linked to a Webex space, links to the summary and transcript appear in that space, and that the host can set AI Assistant to save the summary only, or not to save the summary and transcript at all. If you need the summary, ask for it directly in your follow-up message rather than assuming it will arrive.

> **How Digiotouch AI handles this:** When you record with Digiotouch AI, the meeting page with the summary, action items, key topics, full transcription, and outcomes & open items is saved in your own account. You can edit any section before sharing it, export a PDF for people outside your company, send it from your own Gmail or Outlook account, or push it to tools such as Asana, Trello, Notion or Pipedrive.

## Can guests from another organisation get a Webex meeting summary?

Yes, but only if the host, or someone the host has given access, shares it with them. Webex's automatic sharing stays inside the host's organisation, and [Webex states that only internal invitees receive the email](https://help.webex.com/en-us/article/ngg906s/Share-meeting-and-event-content-with-others) with the recording link. Recap content shared from the Webex App is available only to people inside the host's organisation; to share recordings, transcripts and action items with people outside, the host has to use web.webex.com or the Webex Meetings site, where they can email the content to named recipients as viewers or editors. The host can also copy the summary into a follow-up email.

This is the usual position for anyone selling to, partnering with or supplying an organisation that runs on Webex, such as a bank, a public body or a large enterprise. You are a guest on their platform, under their settings and their retention rules. A specific request works best: at the end of the call, ask the host to send you the AI summary, either shared from the Webex web app or copied into their follow-up email.

> **How Digiotouch AI handles this:** Digiotouch AI is designed for people who join other organisations' meetings and cannot access the host's built-in recording. Your recording and summary sit in your own Digiotouch AI account, not in the host's Webex organisation, and EU users' data is stored in the EU by default. Digiotouch AI does not train AI models on your meeting content.

## How do you record a Webex meeting you don't host, and do you need permission?

Webex's own recording belongs to the host too. [Webex cloud recording](https://help.webex.com/en-us/n0st9z6/) is started by the host or a cohost with a paid Webex account, and Webex notes that attendees cannot record the meeting themselves. The recording saves to the Webex site, and the host decides who to share it with, so as a participant you can ask for a copy but not control it.

The alternative is a meeting assistant that records from your own device. That gives you your own copy, but it does not remove the need for consent. [Webex's help pages state](https://help.webex.com/en-us/article/nyzkuik/Webex-App-Cisco-AI-Assistant-in-meetings) that everyone participating needs to give consent before a meeting can be recorded, summarised or transcribed, and that is the right standard for any tool you bring. Say at the start of the call that you would like to record for your notes, check the host organisation's policy, and stop if anyone objects. Recording rules vary by country, so check the ones that apply to you.

If you are not sure which Digiotouch AI app suits Webex calls, see [Desktop, mobile or web: which Digiotouch AI app should you start with?](/en/blog/desktop-mobile-or-web-which-digiotouch-ai-app-should-you-start-with)

> **How Digiotouch AI handles this:** The Digiotouch AI desktop app for Windows and Mac records the meeting from your own device and runs alongside the Webex call rather than inside it, so the host does not need to change any Webex setting. If you join Webex in a browser and cannot install software, the web app records a browser tab instead. Consent is still your responsibility: tell everyone before you start.

## What should a Webex meeting summary include for client follow-up?

Decisions, their owners, deadlines for post-meeting actions and a summary, among other things, in a form you can send shortly after the meeting. For sales, business development and operations, a useful summary of a client call answers three questions: what was agreed, who owns each next step and by when, and what was shown on screen, such as a pricing slide or a project plan. Notes that miss the slide or the deadline are what turn follow-up emails into back-and-forth.

Before you send anything, check names, numbers and dates, then share the summary within the day so the client can correct it while the meeting is fresh. If the call mixed languages, make sure the summary is in the language your client expects. For the sharing options in detail, see [how to turn a recorded meeting into a shareable summary](/en/blog/how-to-turn-a-recorded-meeting-into-a-shareable-summary).

> **How Digiotouch AI handles this:** Each Digiotouch AI meeting page includes a summary, action items with owners, key topics, speaker-identified transcripts, and every section is editable before you share it. On paid plans, Digiotouch AI also matches the summary content with specific times of the video recording; the free plan does not include this, and a recording with no video has no screen content to read. Action items can go straight to Asana, monday.com, Trello, Jira or ClickUp, and meeting content can be pushed to Pipedrive or Scoro.

## Which route to a Webex summary fits your situation?

The table compares the ways a participant who is not the host can end up with a summary of a Webex meeting. Where the Webex AI Assistant does something Digiotouch AI does not, the table says so.

| Route | What the host has to do | Where the summary ends up | Watch out for |
| --- | --- | --- | --- |
| Ask for the Webex AI Assistant summary | Start it, or allow "Anyone can start and stop the summary" | The host's Webex account | You still need the host to share it afterwards |
| Become a cohost | Give you the cohost role | The host's Webex account; cohosts get the email only if the administrator allows it | You still depend on the host's site settings |
| Ask the host to share it after the call | Email it to you, or enable sharing with invitees | Your inbox | Automatic sharing stays inside the host's organisation; guests need it sent directly |
| Use "Catch me up" during the call (Webex AI Assistant) | Have AI Assistant running | Nowhere: the AI Assistant panel is private to you, and Webex says questions and answers there are not saved after the meeting | Useful if you join late; Digiotouch AI has no in-call catch-up |
| Use your own meeting assistant, such as Digiotouch AI | Nothing in Webex settings | Your own account | Everyone must agree to the recording; the full transcript and screen content need a paid plan |

## Frequently asked questions

### Can I get the Webex AI summary if I am not the host?

Yes, if the host or a cohost turns on AI Assistant and then shares the summary with you. Webex saves the summary to the host's account, so a participant does not receive a copy by default. During the meeting, click AI Assistant in the meeting controls to send the host a request, and afterwards ask the host to share the summary.

### Does Webex send the meeting summary to all participants?

Not automatically. Webex emails the host; cohosts, delegates and internal invitees receive the post-meeting email only when an administrator or the host has switched that sharing on. People from outside the host's organisation need the host to share the summary with them directly.

### Can an external guest get a Webex meeting summary?

Yes, if the host shares it. Webex says recap content shared from the Webex App is available only to people in the host's organisation, so the host has to share it with outside guests from the Webex web app or the Webex Meetings site, or copy the summary into an email. The simplest moment to ask is at the end of the call.

### Is it allowed to record a Webex meeting I do not host?

Only with the agreement of everyone in the meeting, and within the host organisation's policies and the law where you work. Webex's own guidance is that everyone participating needs to consent before a meeting is recorded, summarised or transcribed. Announce the recording at the start and stop if anyone objects; this is general guidance, not legal advice.

### How does Digiotouch AI record a Webex meeting?

The Digiotouch AI desktop app for Windows and Mac records the meeting from your own device, alongside the Webex call, and creates a meeting page with a summary, action items and chapters in your account within minutes. If you join Webex in a browser, the web app records the browser tab instead. Tell everyone in the meeting before you start recording.

### Should I use the Webex AI Assistant or my own meeting assistant?

Use the Webex AI Assistant when the host runs it and is happy to share the summary, or when you want a private catch-up during the call, which Digiotouch AI does not offer. Use your own meeting assistant when you need a summary in your own account for every Webex meeting you join, whoever the host is. In both cases, agree it with the host first.

### Can I get the Webex meeting summary in another language?

Yes. In Webex, the host can translate the post-meeting summary into a preferred language before sharing it. Digiotouch AI transcribes more than 130 languages, keeps the transcript in the language that was spoken, and can translate the summary into any supported language.

### How much does Digiotouch AI cost?

Digiotouch AI has a Free plan that needs no payment details, and summaries and action items are included on every plan. The full transcript starts on the Essential plan, and reading screen content needs a paid plan. Current prices and limits are on digiotouch.ai/en/pricing.
