Why is recording a Teams meeting harder than it looks?
Teams has had recording for years, so most people assume it is a solved problem. It is, if you are an employee recording your own company’s meeting on a licensed account. The moment any of those conditions changes, the button stops working. Microsoft’s own support documentation sets out the conditions plainly: a qualifying licence, an admin policy that permits it, and membership of the organisation hosting the meeting.
That last condition is the one that catches people. Consultants, agencies, suppliers and anyone joining a client tenant are guests, and guests cannot record. Buyer reviews in the AI meeting assistant categories on G2, Capterra and TrustRadius show the same pattern behind the switching decisions: people need a record they control, in the languages they work in, that reaches the rest of the team rather than sitting in one person’s OneDrive.

How do you record a Teams meeting?
Three clicks, if your account is allowed to. Recording captures audio, video and screen-sharing activity, and everyone in the meeting is notified as soon as it starts. Steps below follow Microsoft’s support documentation.
- Start or join the meeting.
- Open More actions in the meeting controls, then choose Record and transcribe, then Start recording.
- Select Confirm. Everyone in the meeting is notified that recording has begun.
- For audio only, open More options under Start recording and pick Audio only from the “Choose what to record” menu.
- Stop recording from the same menu. Stop transcription ends the live transcript but leaves the recording running.
- Find the file in the meeting chat, or in the organiser’s OneDrive. Channel meetings save to the channel’s SharePoint site.
Before you rely on this
- Both the organiser and the person recording need a qualifying licence: Office 365 E1, E3, E5, F3, A1, A3, A5, Microsoft 365 Business, Business Premium or Business Essentials.
- Guests, external attendees and anonymous participants cannot record. Federated users can record calls, but not meetings.
- An IT admin has to have recording enabled in policy. If the button shows a lock icon, that is why.
- Only one person can record at a time.
- Transcription is a separate setting, and it is both a per-organiser and a per-user policy: the organiser and whoever starts the transcript both need it turned on.
- Live transcription covers 44 languages across 57 locale variants, including Estonian, Latvian, Lithuanian, Finnish, Swedish, Norwegian and Danish. Translating the transcript into another language requires Teams Premium.
- Recordings do not capture whiteboards, annotations, shared notes, content shared by an app, videos or animations embedded in PowerPoint Live, or more than four video streams at once.
- Recording stops automatically when everyone leaves, and restarts every four hours if someone forgets to leave.
- The organiser owns the recording. By default only organisers and co-organisers can download or delete it, and guests can view it only if it is explicitly shared with them.
- Expiry is set by your admin. The owner can change it or remove it, and has 90 days to recover an expired recording from the recycle bin.
- Depending on your region you may need everyone’s permission before recording. Teams notifies participants, but notification is not the same as consent.

Do you need Copilot to get meeting notes in Teams?
For AI summaries and follow-up questions, yes. Recording and transcription work without it, but the AI layer on top requires either Teams Premium or a Microsoft 365 Copilot licence, per Microsoft’s admin documentation.
- Confirm the licence. Copilot in Teams meetings requires a Microsoft 365 Copilot licence. Intelligent recap requires Teams Premium or Copilot.
- Turn on transcription. Copilot can run without it, but to prompt Copilot after the meeting or keep its conversation history you need live transcription on during the meeting.
- Open Copilot from the meeting toolbar and ask it questions during the call. Responses are visible only to you.
- Check Recap afterwards for AI notes, action items and follow-up tasks.
Where it breaks
- Copilot does not work in meetings hosted outside your own organisation. If a client hosts the call, it is unavailable.
- Only people from the same organisation who were invited can see intelligent recap and AI notes. External attendees cannot, even with a licence.
- If the transcript is deleted, Copilot becomes unavailable for that meeting and previous Copilot conversation history is removed with it.
- Every person who needs the AI features needs their own licence.
- It still cannot see the whiteboard, because it works from the transcript.

Recording other people: get consent
- Recording from your own device removes a technical restriction, not a legal or ethical one.
- Teams tells every participant when a recording starts, and you should do the same: say at the top of the call that you are recording, and get agreement.
- In the EU, recording a conversation without informing participants can breach both GDPR and national law, and rules differ by country.
- Tell people, and stop if anyone objects.

Be clear about what it will not give you: Copilot works from the transcript, so whiteboards, annotations, shared notes and anything embedded in PowerPoint Live never reach the notes, it is unavailable in meetings hosted by another company, in-person meetings are out of scope entirely, and translating the transcript still needs Teams Premium.
